Books and BIR

Your Books, Kept for You

You don’t post journal entries. The app builds the books from your invoices, payments, stock arrivals, supplier payments and expenses — so they always match.

Reports → Financial Statements (admin):

  • General Journal — every entry
  • General Ledger — all accounts or one, with running balances. Export CSV gives your bookkeeper the whole ledger.
  • Trial Balance
  • Balance Sheet
  • Income Statement

BIR Taxes

Reports → Accounts Payable → BIR Taxes estimates the tax on what you collected, per quarter:

  • VAT-registered — 12/112 output VAT (Form 2550Q)
  • Non-VAT — 3% percentage tax (Form 2551Q)

Each quarter’s tax is due on the 25th day after the quarter ends, and it shows in Accounts Payable until it’s paid.

Record a BIR Payment

Open BIR Payments from the BIR Taxes view → Record Payment: date, amount, method and reference. The quarter’s balance drops, and so does your money on hand.

Input VAT on your purchases isn’t deducted yet, and this app is not a BIR-registered accounting system (CAS). Ask your accountant or RDO before relying on it for filing.

Not all features are available in every copy of Distribution App. Some features, such as Payment QR Code, Salesman Locations and Signed Delivery Receipts, are add-ons that must first be switched on in Settings › Features. Once the free trial ends, the app needs a license key or activation code. Distribution App runs on Mac and Windows; staff phones and tablets connect through the office computer on the same Wi-Fi network. Tax records, receipts and reports follow Philippine (BIR) rules and may not suit businesses in other countries. Screens in this guide show the Demo Company — all names, addresses and prices are made up — and may look slightly different from your version of the app. Features may change without notice.
